M1. Explain mechanisms that can reduce the
impact of communication barriers
- Short Introduction
In P3 I Have covered the barriers to
effective communication. In this assignment I am going to explain the
mechanisms that can reduce the impacts of communication barriers to effective
communication. I will talk about the following cultural differences, background
noise, bored audience, distractions which includes in general skills,
interpersonal skills includes poor body language, use of inappropriate language,
negative language and lack of interest and concentration and written
communication includes poor spelling, grammar mistake and irrelevant content.
- General Skills
Background
Noise
The background noise can be also being
reduced in the barriers to effective communication. This can be reduced by when
you move to a place where it has less distraction and less noise. It is also a
good idea to tell others to be quiet when you are doing a presentation. When
you do your work on the computer you can move to a different place where it is
quiet and has less noise or you can listen to quiet music when you do work
using your headphone so this can’t distract you from background noise and this
can make you work. These are the solutions to avoid background noises.
Distractions
The distraction can be also being reduced
in the barriers to effective communication. This can be reduced when you switch
off your mobile phone or put it in silent mode when you deliver a presentation
or when you tell others to switch off their mobile phones. When there is
distraction it is better to go to less distraction area where it is quiet.
Present and speak clearly to the audience so they can understand what you mean.
If other people came late to the presentation or missed a point just recap the
presentation again and when someone is absent for any reasons then the
presentation can be done on another convenient time. These are the solutions to
avoid distractions.
The cultural difference can be also being
reduced in the barriers to effective communication. This can be reduced by respecting
other people’s beliefs and their background habits. By not making fun of others
accent in the way they talk and the way they behave. This can be also reduced
when you help them a lot. Do not be racist to them whether they black or white.
Arranging an interpreter for them is a good idea so some words can be
translated in their language. Never discriminate other cultural people.
Bored
audience
The bored audience can be also being
reduced in the barriers to effective communication. This can be reduced by when you speak more
loudly in a presentation so the audience can know what you are saying and hear
clearly. Using more images and
animations on the presentation cannot bore the audience instead of using more
texts. Always show them positive body language when delivering a
presentation. At the end of the
presentation do question and answer session for audience to ask questions about
the presentation as this would not bore the audience. By doing little
activities can interest the audience such as quiz game. These are the solutions
to avoid bored audience.
Poor
Body Language
The poor body language can be also being
reduced in the barriers to effective communication. This can be reduced when
you talk in good tone of the voice which will mean to others that you are very
friendly. Do not use closed body language to the people when talking. Also when
delivering a presentation face the audience does not face the projector as this
makes the audience to be bored in the presentation. Always look at the peoples
face when you talk to them example would be having eye contact with people.
These are the mechanisms to reduce poor body language.
Uses
of inappropriate language
The use of inappropriate language can be
also being reduced to effective communication. This can be reduced when you do
not use foul languages in the workplace, college or presentation as foul
language can upset people and the audience will be unable to listen to you.
Don’t swear at the people as this can cause conflict and fight. Do not laugh at
the people when they make mistake in presentation. Never be racist to anyone
always treat them same. Never be involved in fights or negative things. If you
feel hurtful that you are bullied or if someone swears at you just tell your
teacher. Never fight back and swear back as this can make you to get into
trouble. These are the solutions for inappropriate language.
Negative
Language
The use of negative language can be also
being reduced to effective communication. This can be reduced when you do not
use negative language. This can be solved when you are more patient rather
being more antagonistic. Antagonistic means when you jump in while someone is
having conversation as this can act as negative language. So always be patient
and wait till it is your turn to talk. Do not finish other people’s sentence
and if you finish other peoples sentence this can make the people to feel
irritating. If you use negative language this can make the people unable to
listen to you. So never use negative language. These are the solutions for
negative language.
Lack
of Concentration
The use of lack of concentration can be
also being reduced to effective communication. This can be reduced by when you
pay attention if someone is talking to you or the teacher is explaining
something to you. Always
listen to everyone when they are sharing their views or when they are doing a
presentation. Look at the peoples face when you talk to them or when they talk
to you. Always stay concentrated and stay focused on the class times. When you
are doing your homework or coursework at home if there is loud noises going on
which makes you not to focus on your work just turn the loud noises off such as
when the TV is working turn it off or reduce the sound. When you turn the loud
thing off this can make you stay concentrated and focused on your work. These
are the remedies for lack of concentration.
Lack
of Interest
The use of lack of interest can be also
being reduced to effective communication. This can be reduced when you keep
your presentation interesting to the audience. To keep the audience interested
on your presentation you should use multimedia techniques such as videos,
images, question and answer sessions or animations. These can make the audience
to get interested on your presentation. Don’t use too much text on your
presentation as this can give lack of interest to the audience. Use more images
and few texts in each presentation slides. Don’t face the board when you are
doing the presentation as this can mean to the audience that you have poor body
language. Just face the audience if you do presentation. If you have difficulty
of remembering the texts in the slides just use small cue cards which can help
you read it from there. Always show them videos so this can make them to get
interested and use animations on your presentation slides. At the end of the
presentation do question and answer session to them so they can be able to ask
questions to you if they don’t get something or if they have missed a point.
These are the mechanisms that can reduce lack of interest.
- Written communications Skills
Poor Spelling
The poor
spelling can also being reduced to effective communication. This can be reduced
when you always check your work when you finished it. Always check for spelling
mistakes you made otherwise people or reader will think that you have
unprofessional image. When you write a document electronically on word you can
check your spelling easily because it will highlight the wrong spelled word.
This can be done when you right click the wrong spelled word and then select
the right word or it can be done when you use the spelling and grammar check.
The spelling and grammar checker can be found when you click review and then go
to the proofing tab or you can get spelling and grammar checker when you press
the F7 key. The spelling and grammar checker allows you to change the words
right. When you write a letter or article you should proofread it first and the
give it to your teacher or your peers to proofread your letter. These are
remedies that poor spelling can be solved.
The use of
grammar mistakes can be also being reduced to effective communication. This can
be reduced when you check for the grammar mistakes after you have typed a
document. Also structure your sentence correctly on your work. You can use the
spelling and grammar check to check your grammar. You can also press F7 to
correct the grammar. These are the solutions for the grammar mistakes.
Irrelevant Content
The irrelevant
content can be also being reduced to effective communication. This can be
reduced when you write relevant facts on the letter. By having more relevant
information when you do a presentation which can be helpful for the audience to
understand. Relevant information tells
very useful facts and very suitable facts of the presentation. If you have
irrelevant content the writer would not get what you are saying as this can
confuse the reader. These are the solutions for the irrelevant content.
